Terms and Conditions of Service
Effective Date: 1 June 2025
PLEASE READ THESE TERMS CAREFULLY. BY COMPLETING PAYMENT AND ENROLLING IN OUR COACHING SERVICE, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREED TO BE LEGALLY BOUND BY THE TERMS BELOW.
These Terms and Conditions (“Agreement”) govern the contractual relationship between Ryan Hook Coaching Ltd (a company incorporated in England and Wales under company number [Insert Number], trading as ARC Online Coaching, referred to as “we”, “us”, or “our”) and the client (“you”, “your”, or “Client”) who purchases or accesses our coaching services.
1. Services Provided
We provide online coaching services that may include, but are not limited to:
Personalised fitness, nutrition, and lifestyle plans
Weekly check-ins and tailored video feedback
Direct communication via email, WhatsApp, and Loom
Habit formation and mindset support
Delivery via digital platforms such as Google Sheets, Loom, and coaching apps
All services are delivered remotely. No in-person services are included unless explicitly agreed in writing.
2. Eligibility and Client Acknowledgements
By enrolling in coaching, you confirm that:
You are aged 18 or older and legally capable of entering into this Agreement
You voluntarily participate in the service, acknowledging that it does not constitute medical, psychological, or therapeutic advice
You will disclose any relevant health conditions, injuries, medications, or limitations truthfully and fully
You understand that results are individual and require sustained effort and adherence
You accept full responsibility for your actions, outcomes, and health while under coaching
3. Medical Disclaimer and Waiver of Liability
You acknowledge and agree that:
Coaching is not a substitute for professional medical advice or treatment
You should consult your GP or relevant health provider before starting any new training, nutrition, or supplement protocol
You are responsible for your own physical and mental wellbeing throughout
You voluntarily release and discharge Ryan Hook Coaching Ltd from all claims or liabilities arising from your participation
4. Payment, Billing and Fees
All payments must be made in full at the point of purchase via our secure payment processor (e.g. Stripe, Klarna, PayPal)
All prices are listed in GBP (£), inclusive of VAT where applicable
Monthly subscriptions are billed on a rolling basis from the date of initial sign-up
6-month block payments are one-time payments for a fixed duration
Coaching access begins only once full payment is received
Failed or late payments may result in suspension or termination of access
You agree not to dispute charges (“chargeback”) without first contacting us. Fraudulent chargebacks will be pursued legally
For split payment options, you remain liable for the full agreed term and total cost
5. Minimum Commitment, Cancellations & General Refund Policy
The minimum commitment is one (1) full month unless otherwise stated
Monthly subscriptions are billed on a rolling basis, with payment taken on the same calendar day each month as your original sign-up date
This billing date can be changed upon request by contacting us prior to your next renewal
Subscriptions may be cancelled at any time with at least 21 days’ written notice prior to your next billing cycle
No partial or pro-rata refunds are issued for mid-month cancellations or unused services
6-month block payments are one-time, upfront payments. Outside of the initial 30-day guarantee period, this payment is strictly non-refundable under any circumstances.
You will retain access to the service and coaching support for the full 6-month period regardless of engagement level
Upon completion of a 6-month plan, you may renew for another block or transition to a rolling monthly subscription
By completing your purchase, you confirm that you understand and agree to these refund terms
ARC Online Coaching reserves the right to deny any refund request made outside of the clearly defined terms above or where there is evidence of misuse or bad faith
ARC Online Coaching also reserves the right to assess all refund requests on a case-by-case basis and to refuse refunds where there is clear evidence of service use, benefit gained, or suspected abuse of the guarantee. The intention of our refund policy is to protect genuine first-time clients who engage in good faith
6. 30-Day Money-Back Guarantee (First-Time Clients Only)
We offer a 30-day money-back guarantee to first-time clients who actively participate but are not satisfied with the service. This applies only under the following conditions:
Eligibility Criteria
To qualify for a refund, you must:
Complete onboarding and book your starter call within 7 days of purchase
Submit a full weekly check-in every week from the date of onboarding through to the date of your refund request — no missed or skipped check-ins
Follow the coaching plan provided (training, nutrition, and lifestyle targets) to a reasonable degree
Maintain active communication with your coach throughout the period
Submit clear evidence that the service was not delivered as described or did not meet the reasonable expectations set out during the onboarding and purchase process
Refunds will not be granted without consistent engagement and reasonable evidence that expectations were not met.
Excluded Circumstances
Refunds will not be granted for:
Change of mind or change in personal circumstances (e.g. travel, finances, work or personal commitments)
Missed or incomplete check-ins
Failure to follow the agreed plan or complete onboarding
Signing up with no intention to engage
Returning clients or repeat purchases (guarantee applies to first-time clients only)
How to Request a Refund
All refund requests must be submitted in writing to ryan@arc-onlinecoaching.com within 30 calendar days of purchase
You must include:
Full name and email used at checkout
Date of purchase
Reason for the request
Confirmation that all eligibility criteria have been met
Supporting evidence (e.g. check-ins, screenshots, communication logs) may be required
Approved refunds will be processed via the original payment method within 7–10 business days
If a second payment is charged during the 30-day window before a refund is reviewed, both payments will be refunded together upon approval
7. Intellectual Property Rights
All materials and content provided — including coaching systems, spreadsheets, videos, templates, frameworks, and communications — remain the intellectual property of Ryan Hook Coaching Ltd.
You are granted a personal, non-transferable, non-commercial licence to use the materials for your own development. You may not:
Copy, share, reproduce, sell, or modify any materials
Use any part of the service for business or resale purposes
Unauthorised use may result in immediate termination of services and legal action.
8. Termination of Services
We reserve the right to terminate your access to coaching, without refund, if you:
Engage in abusive, threatening, or disrespectful behaviour
Are dishonest or falsify information
Breach these terms or violate confidentiality
Consistently fail to engage, respond, or participate over an extended period
Termination for cause does not remove your obligation to pay any remaining fees or balances due.
9. Limitation of Liability
To the fullest extent permitted by law:
We are not liable for indirect, incidental, or consequential damages arising from use of the service
You accept full responsibility for any actions you take based on our guidance
Our total liability will never exceed the amount paid in the month in which a claim is made
Nothing in this Agreement excludes liability for death or injury caused by negligence or fraud
10. Data Protection & Privacy
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), Data Protection Act 2018, and our [Privacy Policy].
You consent to the collection and use of your data for coaching delivery and client service
We do not share or sell your information and will only use secure, encrypted systems
You have full rights under data protection law including access, correction, erasure, and objection
11. Force Majeure
We are not liable for delay or failure in performing any part of the service due to causes beyond our control, including but not limited to: illness, accident, technical failure, natural disasters, war, civil unrest, or governmental restrictions.
12. Governing Law and Jurisdiction
These Terms are governed by the laws of England and Wales.
Any disputes or legal claims will be handled exclusively in the courts of England and Wales.
13. Entire Agreement
This Agreement constitutes the entire understanding between you and us regarding your use of the coaching service.
No verbal or written communication outside these terms will be binding unless confirmed in writing and signed by both parties.
